Privacy Policy

Effective August 2026

SilverLeaf Property Ltd. collects personal information in the course of managing rental properties and condominium corporations. This policy explains what we collect, why, who we share it with, and how you can access or correct it.

What we collect

When you submit a form on this website, we collect the name, email address, phone number, property location and message you provide, along with the date of submission.

If you become a client, resident or rental applicant, we collect the information needed to carry out management and tenancy obligations. For owners this includes banking details for payouts and property and financial records. For applicants and residents it includes identification, income and employment details, rental history, references, credit information and, where applicable, records of maintenance requests and payment history.

Why we collect it

  • To respond to your inquiry and prepare a management proposal
  • To screen rental applicants and administer tenancy agreements
  • To collect rent and condominium fees, pay vendors and issue owner statements
  • To coordinate maintenance and repairs
  • To meet our obligations under Saskatchewan's residential tenancy and condominium legislation

We do not sell personal information, and we do not share it for anyone else's marketing purposes.

Email we send you

If you contact us about property management, we may follow up by email about your inquiry. Every commercial email we send identifies SilverLeaf Property Ltd., includes our contact information, and carries a one-click unsubscribe link. You can also withdraw consent at any time by replying to any message or emailing inquiries@silverleafproperty.ca, and we will stop within ten business days.

Withdrawing consent for marketing email does not affect messages we are required to send you as a client, resident or owner — statements, notices and maintenance correspondence.

Service providers

We use third-party providers to operate our business, including a property management platform for owner and resident portals, rent payments and accounting; email delivery and workflow automation services; and standard website hosting. These providers process information on our behalf and are not permitted to use it for their own purposes.

Some of these providers store or process data on servers located outside Canada, including in the United States. Information held in another country may be accessible to that country's law enforcement and regulatory authorities under its laws.

We also disclose information where we are required or permitted by law — for example to the Office of Residential Tenancies, to a credit reporting agency during applicant screening, or in response to a lawful request.

This website

Our web host records standard technical information such as IP address, browser type and pages visited. If we use analytics software, it is configured to measure aggregate site usage rather than to identify individuals. You can block cookies through your browser settings; the site will continue to work.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law. Inquiries that do not become client relationships are deleted within two years. Tenancy, condominium and financial records are retained for the periods required by Saskatchewan legislation and by tax and accounting rules.

Security

We restrict access to personal information to staff and providers who need it to do their work, and we rely on the access controls, encryption and audit features of the platforms we use. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of the information.

Access, correction and complaints

You may ask what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to inquiries@silverleafproperty.ca or call (306) 956-0044. We will respond within 30 days. We may need to verify your identity first, and there are limited circumstances where access must be refused — for example where releasing information would reveal personal information about someone else.

If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy as our practices or the law change. The effective date at the top of the page reflects the current version.
